Balancing Work & Life: Vacation Benefits for Employees
At Lewis & Clark College, we believe that taking time away from work is essential for maintaining a healthy work-life balance.
That’s why Lewis & Clark is proud to collaborate with both the LCCSSA and Teamsters unions to provide fair and comprehensive vacation benefits for our union-represented employees, and to provide paid vacation leave for our benefits-eligible, unrepresented administrative employees, ensuring all have the opportunity to rest, recharge, and maintain overall well-being.

Vacation Time for Unrepresented Administrative Employees and Non-Exempt Support Staff
Vacation Accrual & Limits
- Full-time employees (1.0 FTE) accrue 15 hours (2 days) of vacation per month (for months in which they are paid for at least two weeks).
- Employees working less than 1.0 FTE accrue vacation on a prorated basis.
- Employees may accrue up to 300 hours (40 days) of vacation time.
Using Vacation Time
- Supervisor Approval Required – Vacation time must be pre-approved by your supervisor, considering departmental needs and other time-off requests.
- Advance Notice – Employees should provide at least two weeks’ notice before taking vacation.
- No Advance Use – Vacation may not be used before it is accrued.
- Monthly Reporting – Employees must report their vacation usage each month.
Important Notes
- Unused vacation time is not paid out upon termination of employment.
- Vacation time cannot be used to extend the final date of employment.

Vacation Time for LCCSSA Members
Lewis & Clark provides vacation benefits to employees represented by the Lewis & Clark College Support Staff Association (LCCSSA), in accordance with the collective bargaining agreement.
Vacation Accrual
LCCSSA employees accrue vacation based on years of service and hours paid:

5 - <10 years | 150 hours (20 days) | 180 hours (24 days) |

- Accrual is prorated for employees working less than 1.0 FTE.
- Employees working a 2080-hour schedule accrue vacation at a higher rate.
- Vacation does not accrue on overtime hours or during unpaid leave.
Using & Scheduling Vacation
- No Advance Use – Vacation may not be used before it is accrued.
- Vacation should be scheduled in advance in cooperation with the employee’s supervisor.
- Supervisors will consider both department needs and employee preferences when approving requests.
- Requests for vacation during the academic year will not be unreasonably denied.
- If multiple employees request the same time off, seniority may determine priority.
Vacation Carryover & Maximum Accumulation
- Employees must use vacation annually and cannot carry over excessive unused time.
- Once the maximum balance is reached, no additional vacation will accrue until time is used.
Vacation Payout at Termination
- Up to 24 days of unused, accrued vacation will be paid upon termination or retirement.
- In the event of an employee’s death, up to 24 days of vacation will be paid to their estate.

Vacation Time for Teamsters Members
Lewis & Clark provides vacation benefits to employees represented by the Teamsters Union in accordance with the negotiated contract.
Vacation Accrual
LCCSSA employees accrue vacation based on years of service and hours paid:

- Accrual is prorated for employees working less than 1.0 FTE.
- Full-time employees who work less than 75 compensated hours in a month will not accrue vacation time for that month.
- Vacation does not accrue on overtime hours or during unpaid leave.
Using & Scheduling Vacation
- No Advance Use – Vacation may not be used before it is accrued.
- Vacation should be scheduled in advance in cooperation with the employee’s supervisor.
- Supervisors will consider both department needs and employee preferences when approving requests.
- Requests for vacation during the academic year will not be unreasonably denied.
- If multiple employees request the same time off, seniority may determine priority. However, employees may only exercise their right of seniority once annually.
