At Lewis & Clark College, we understand that taking time to care for your health is essential. That’s why we provide comprehensive sick leave benefits for all employees. We are proud to collaborate with both the LCCSSA and Teamsters unions to ensure our union-represented employees receive fair and supportive sick leave policies, while also providing paid sick leave for our benefits-eligible, unrepresented administrative employees. These benefits help ensure that all employees have the time and support they need to recover from illness, attend medical appointments, and care for their well-being.

Sick Leave for Unrepresented Administrative Employees and Non-Exempt Support Staff
Sick Leave Accrual
- Full-time exempt administrative staff receive 22 days of sick leave per academic year (September 1 – August 31).
- Part-time administrative staff (scheduled to work at least 20 hours per week) receive prorated sick leave based on their scheduled hours.
- New hires receive 1.83 days of sick leave per month for the remainder of the academic year if hired mid-year (must work at least 75 hours in the first month for accrual).
Using Sick Leave
- Sick leave must be taken in full-day increments.
- Employees must notify their supervisor as soon as possible if they are unable to work, but no later than the start of the workday.
- Supervisors track sick leave using the “Exempt Employee Absence Report.”
- The College may request a physician’s statement to verify the need for sick leave.
- If sick leave is exhausted, additional absences will be charged to vacation time before moving to unpaid status or short-term disability, if applicable.
Additional Sick Leave Benefits
- Unused Sick Leave Bonus – Employees who do not use any sick leave during the academic year will receive one additional personal day to use in the following academic year.
- No Sick Leave Payout – Sick leave is not paid out upon termination of employment.

Sick Leave for Part-Time Exempt Administrative Staff
Part-time exempt administrative staff at Lewis & Clark accrue prorated sick leave based on their scheduled work hours and months worked per year.
Sick Leave Accrual for Part-Time Employees
Sick leave is calculated based on weekly hours worked and months worked per year. Employees receive their full sick leave credit on September 1st each year, provided they work at least two weeks in a given month.

Key Sick Leave Guidelines
- Sick leave only accrues in months where an employee is compensated for at least two weeks.
- Sick leave must be used in full-day increments.
- Employees should notify their supervisor as soon as possible if they need to take sick leave.
- Unused sick leave is not paid out upon termination of employment.

Sick Leave for Hourly (Non-Exempt) Employees
Hourly employees at Lewis & Clark accrue sick leave based on their years of service and collective bargaining agreements, ensuring access to time off for illness or injury.
Sick Leave Accrual for Hourly Employees
Sick leave accrual varies by years of service:

- Employees must be in paid status for at least 75 hours in a month to accrue sick leave.

- The maximum annual accrual for hourly employees is 22 days per year.

Sick Leave for LCCSSA Employees
Lewis & Clark provides sick leave benefits to employees represented by the Lewis & Clark College Support Staff Association (LCCSSA) to support time off due to illness, injury, or qualifying family needs.
Sick Leave Accrual
LCCSSA employees accrue paid sick leave based on their regular hours worked:

- Sick leave accrual is prorated based on FTE.
- Employees on a 2080-hour schedule accrue at a higher rate.
Using Sick Leave
- Sick leave can be used when an employee is unable to work due to illness, injury, or a qualifying event under the Family Medical Leave Act (FMLA) or Oregon Family Leave Act (OFLA).
- Employees may use up to three sick days per academic year to care for immediate family members (parent, child, spouse, or domestic partner) for non-FMLA/OFLA qualifying events.
- Sick leave may be used for doctor and dentist appointments.
- Employees must notify their supervisor before or at the beginning of their shift unless incapacitated.
- The College may request reasonable verification of illness or injury to prevent sick leave abuse.
- If an employee exceeds their accrued sick leave, additional absences will be charged to vacation time before moving to unpaid status.
Sick Leave at Termination
- Unused sick leave is not paid out when an employee leaves the College.

Sick Leave Accrual
Teamsters employees accrue paid sick leave based on their regular hours worked:

Well Days
- Employees who maintain a perfect attendance record by having no absences other than pre-scheduled medical appointments or health-related emergencies in each contract year will earn one personal paid day off.
- Eligibility for well days begins at the end of one full contract year (June 1st-May 31st).
- Personal days must be taken in the 12 months immediately following the eligibility year in which the day was earned.
